UVic (University of Victoria) Email POP and IMAP Server Settings
If you want to use an email client to verify and manage your email, you must first decide whether to open your email account or set up an IMAP server settings. These university systems recommend IMAP for most users. Below are IMAP & POP settings that you can see.
POP server settings
POP (Post Office Protocol) downloads all messages from your inbox to the email server on your computer’s hard drive. Email is managed locally on your machine without the need for a continuous internet connection. Downloaded messages have been deleted from the email server.

IMAP (Internet Message Access Protocol) keeps all messages on the email server. The original email stays on the server until you delete it manually from the server.

How ot Configure UVic webmail on iPhone ?
You can configure, set up, and even use your UVic webmail account for use with your iPhone, iPad, or iPod Touch device. While these instructions or guidelines are for your iPhone, they may also apply to other iOS devices. Please note that the procedure is different for faculty and staff with a Microsoft exchange account. These instructions represent the setup on a device running iOS 14.
Setup UVic Process
- Tap on the settings icon on your iOS device.
- Then click on the mail icon (password, mail, contacts, calendars, notes, phone, message, etc).
- Tap Accounts option.
- Tap Add Account option.
- In the list of email providers, then click Other option (iCloud, google.com. Outlook.com, AOL etc).
- When in another section, tap Add Mail Account on the new account screen, you enter the following information:
– Name: enter your name as you want it to apear on outgoing messages.
– Address: choose your UVic email address (NetlinkID@uvic.ca).
– Password: choose your UVic webmail password (i.e., your NetLink ID password).
– Description: UVic webmail (or something else that you will identify). - And then press ‘Next’ button.
- Make sure the server type is IMAP server.
- Under the Incoming mail server settings, enter the following information below:
– Host Name: imap.uvic.ca.
– User Name: enter your NetLink ID (i.e. the first part of your UVic email address).
– Password: choose your UVic webmail password (i.e., your NetLink ID password). - Under Outgoing mail server settings, enter the following complete information:
– Host Name: smtp.uvic.ca.
– User Name: enter your NetLink ID (i.e. the first part of your UVic email address).
– Password: choose your UVic webmail password (i.e., your NetLink password). - Then click on ‘Next’ button.
- Click on the Save button.
- After a few moments (this can take up to a couple of minutes), then your account should be verified.
- Congratulations! UVic webmail account is now added successfully and you can use now.
Configure Exchange iPhone and iPad
Before you begin this process, it is assumed that your iPhone / iPod Touch uses firmware version 2.0 or higher. You have a NetLink ID, a password and a Microsoft Exchange account. Instructions are different for students and webmail users.
- From the Home screen, then click the Settings icon.
- Select Mail, Contacts, Calendars your devices.
- Click on Add Account option.
- Select Microsoft Exchange option.
- Enter your credentials, and then click the Next button.
- The iPhone Exchange will try to find the server settings automatically.
- If you want to reply and accept the certificate for uvic.ca.
- Select the services you want to sync with Exchange and press Save in the upper right corner.
- If you have already entered contact or calendar data, it will be deleted and replaced with information synchronized with the Exchange.
Configure UVic webmail on Outlook 2016 & Outlook 365
You can configure, set up, and even use your UVic webmail account for use with your Outlook 2016 & Outlook 365. While these instructions or guidelines are for your Outlook 2016 & Outlook 365.
- Click the Windows key at the bottom of your screen, and type Control Panel.
- And then select the Control Panel application option.
- Select the Mail option.
- Select your email accounts.
- Choose ‘New’ button.
- Select manual setup or additional server types.
- And click Next button.
- Click on POP or IMAP and then click Next button.
- Fill in your user information, and server information, then login information and then click on more settings option.
– Account type: IMAP
– Incoming mail server: imap.uvic.ca
– Outgoing mail server: smtp.uvic.ca - In the Outgoing Server tab, then select My Outgoing Server (SMTP) needs authentication and the same settings as my incoming mail server will be used.
- Toggle on the Advanced tab.
- In the Advanced tab, then enter 993 for incoming server (IMAP) and select SSL for encrypted connection.
- Enter 587 for Outgoing Server (SMTP) and select Auto select for Encrypted Connection.
- Click OK button to return to the screen from step 7.
- Hit Next to verify your account settings.
- Click Close to finish option and then your account is set up successfully.

- Open your Mac Mail.
- If you haven’t used Mail on your Mac before, skip the step.
- From the Mail menu, then select the Add your account option.
- When prompted to select a mail account provider, then select another mail account option.

- Select the apps you want to use with this account, then click Done button.

Configure Exchange: Mac Mail in Mac OS X on UVic webmail
Although University Systems has confirmed that Mac Mail works with Exchange, please be aware that Mac Mail is not a fully supported application. To configure supported email, see the email setup features below.
Before following these instructions, make sure you have a Microsoft Exchange email and calendaring account. Contact the computer help desk if you are not sure.
Exchange: Mac Mail in Mac OS
- If Mail starts, create a new account wizard, doesn’t launch automatically, go to the File option menu.
- And select Add Account option.
- Enter your full name as you would like it to appear, your UVic email address, and your NetLink ID password.
- Click on Continue button.
- Set the account type on the exchange and enter the following information:
– Description: if you want, you can enter the account description.
– Incoming mail server: mail.uvic.ca.
– Username: enter your NetLink ID.
– Password: choose your NetLink ID password.
– Outlook web server access server: mail.uvic.ca. - Click Continue button (at this point, it will test the authentication).
- After a few seconds, you will see the Outgoing Server settings screen.
- Enter mail.uvic.ca as the outgoing mail server settings.
- Then just use this server as well as use the he authentication checkbox.
- Enter your NetLink ID as your username and your NetLink password.
- Click Continue button.
- The View Certificate window will open stating that it will not be able to verify the identity of mail.uvic.ca.
- Click Show Certificate and then UVic email Always check trust when connecting with.
- Click Connect button.
- Enter your NetLink ID and password and click on OK button.
- The Account Summary screen will open.
- Click on Create button.
- You will be presented with the option to import mailboxes.
- This will be to receive data from another email program on your local machine.
- If you do not need to import from another program, then click Done button.
- It will take a few seconds to load each folder for the first time.
- If you already have a large number of folders on the Exchange, it may take up to 15 minutes for all mailboxes to load for the first time.
How to Manage Junk Settings – UVic webmail?
UVic webmail has spam filters that you can enable. Subscribing to these filters will block incoming emails that can be identified as spam by online groups.
- Login to your webmail account webmail.uvic.ca.
- Located near the top of the page, then click Options.
- Click on Spam Filters.
- Using the drop-down list, then select where you want to move your spam delivery.
- Your junk e-mail folder is recommended. Then, in the second drop-down list, select what you want to scan.
- Select which spam list you want to subscribe to by clicking the checkbox next to the list name.
- You can pick them all up.
- When you are finished, click Save button.
Periodically check your junk e-mail folder (or whatever folder you selected in step 4) to make sure legitimate emails aren’t accidentally tagged as spam.
Setup UVic webmail on Outlook 2011/2016 for Mac
- First Open your Outlook 2011/2016.
- From the Outlook menu, then select Preferences option.
- Click on the Accounts tab.
- In the lower-left corner of the Accounts dialog box and then click the plus sign (+) option.
- Choose New Account from the drop-down list.
- Type your email address and select Continue button.
- Select the IMAP account type and enter your username (your NetLink ID), and then your password in the field.
- Fill in the incoming server setting and outgoing server settings as shown.
- Don’t forget to use SSL to connect.
- Your detailed account settings are now shown.
- The description and full name of the accounts in the Accounts menu can be changed if you want to change.
- Close the window to complete and success the setup.
University Email Forwarding on UVic webmail
The following instructions help you set up auto-forwarding to another email address webmail.uvic.ca. Any changes to the filters on will affect how your mail is handled on any email clients connected from your UVic email address. You can do email forwarding using the steps below.
- First Log in to webmail.uvic.ca link with your NetLink ID and passphrase.
- In the top right corner, then click Settings option.
- In the Settings, then click on Filters tab in the left sidebar.
- Add a new Filter using the + icon at the bottom.
- Give your filter a name (eg. Auto-Forwarding), then do the following:
– Set For incoming mail to all messages.
– For execute the following actions, choose Redirect message to.
– Enter in the email address that you’d like to forward your messages to in th box. - Click on Save button.
- Your Finished setup! If you want to turn off the filter but still keep it for future use, click Filter disabled next to the Save button.

How to Create an email Filter on University of Victoria ?
Filters (sometimes referred to as ‘rules’) can help keep your email account tidy as well as free of junk and spam emails. For example, you can create a filter to call any email with the word “university” in the subject line “UVic” on an automatically created personal folder.
To create filters
- Visit webmail.uvic.ca and sign in with your NetLink ID and password.
- Click Settings next to the page on the right.
- On the left, then click on Filters option.
- You will then need to click + to create a new filter.
- The following window will appear and you will be able to create a name and set specific rules and where the email should go.
So if, for example, you are receiving a lot of spam from the email address “ispam@junk.com”, you can move all message from that address straight into your deleted folder by entering the following settings:
- Click “Save” button.
- Your new filter will then be displayed.
- You can always view, edit or delete your filters at any time.

Email is considered an important means of communication on and off campus. Many people include email signatures with every email they send, as delivering contact information and demonstrating a connection to their organization are both practical forms.
As part of an overall effort toward more relevant youth visual identification, they introduced you to three options for standard Edge email signatures.
Add a Signature on Windows
- Open your Outlook and go to the orange file menu in the upper left corner, then click Options.
- Click Mail in the left-hand menu, and then click Signatures option.
- Click New to create a new signature.
- Write the name for this signature (it can be whatever you like).
- Copy one of the approved signatures (above) in large text boxes.
- Make sure the font is set to Calibri (sometimes Outlook will be defaulted to “inherit”).
- Leave color and font size as is.
- To paste, right-click and under Paste Options, select Merge Formatting.
- Edit the appropriate text with your name and professional contact information.
- Before clicking OK button, you can choose to create your default signature in the upper right corner of this window your default signature in the top right corner of this window.

- Open your Outlook and click on Preferences in the Outlook menu.
- Click on the signatures option.

There are a number of analysts working at the computer help desk, mostly working part-time to cover extended hours. Usually the consultant is a student of UVic who has a strong background in computer science or engineering. They work under the supervision of a computer help desk manager. If you ever feel that your problem or request is not being adequately addressed, please ask to speak to the manager.
Monitoring and solving problems
When computer helpdesk consultants are unable to provide instant answers, your query will be recorded and tracked in our helpdesk-on-line management and event recording system. They will have research on some questions from computer help desk analysts from many technical tools. Will be provided to senior technical staff in other university systems. Keep in mind that some of the questions are resolved, and some of the services provide involve more than one employee and may take some time.
